At VocBase, we respect your privacy and are committed to protecting any personal information you provide while using our platform. This Privacy Policy explains what data we collect, how we use it, and the steps we take to safeguard it.

1. Information We Collect

We collect only the data necessary to provide, improve, and secure our services. This includes:

• Account information such as your name, email, and organization details
• Workspace and integration metadata (e.g., tool connections like Zendesk, Intercom, Linear)
• Usage analytics (page views, feature usage, etc.)
• Session replays with interaction-level information (clicks, scrolls, navigation)

2. How We Use Your Data

We use your data to:

• Deliver core product functionality and integrations
• Improve the user experience through usage insights
• Diagnose bugs, optimize performance, and support customer inquiries
• Analyze product usage to inform development priorities

3. Session Replay & Analytics Tools

We use session replay and product analytics tools to better understand how users interact with VocBase. However:

• We do not capture keystrokes or input field values. Our tooling is configured to mask or exclude sensitive fields like passwords, emails, and other PII by default.
• These tools record non-sensitive UI interactions (clicks, navigation, scrolls) for the purpose of improving usability and performance.
• We do not track users across websites or use invasive fingerprinting technologies.

The session replay and analytics tools we currently use include (but are not limited to):

• PostHog (self-hosted)
• Highlight.io (session replay)
• Mixpanel (optional, anonymized event tracking)

4. Data Security

We take security seriously. All data is encrypted in transit (HTTPS) and, where applicable, at rest. Access to sensitive information is restricted to authorized team members only.

5. Third-Party Integrations

VocBase integrates with third-party platforms (e.g., Intercom, Zendesk, Slack, Linear). We only access data that you explicitly authorize. Your data is never shared with third parties without your permission.

6. GDPR & Data Residency

VocBase is actively working toward GDPR compliance but is not yet fully certified. We do not currently offer EU data residency or formal Data Processing Agreements (DPAs).

If your organization requires strict compliance, please contact us before using the platform. We will transparently share our roadmap and provide support for data-related questions.

7. Your Rights

You may request to view, modify, or delete your data at any time. Please email us at support@vocbase.com to make a request. We will respond within 30 days.

8. Changes to This Policy

We may update this Privacy Policy from time to time. If significant changes are made, we will notify you via email or in-app notice.
